Overview

Support Role Transfer allows you to transfer Support Roles in bulk from one Contact to another. This feature is primarily intended for personnel or organizational changes which require Support Roles to be assigned to a new party.

You must have a Librarian role to use this feature, as well as have Author or higher privileges on the Catalog Items that the Support Role is assigned to. Note that the affected Catalog Items do not need to be taken out of publication for this feature to be used.

Support Role Transfer affects all Support Roles for a specific Contact which are currently in effect. It does not affect historical Support Roles where the End Date has passed.

The existing Support Role will not be removed; rather an End Date will be set, and a new Support Role will be created for the new Contact filling the role. This allows a historical record of Support Roles to be preserved for the record.

Support Role Transfer vs. Replace Usages

The Replace Usages feature is similar to Support Role Transfer, but it is intended for different use cases and has important differences:

  • Replace Usages affects all Support Roles for the Contact, regardless of whether or not the effective dates of the Support Role are current.
  • Replace Usages also affects any usages of the Contact in Lineage Process Steps; Support Role Transfer only affects Support Roles.
  • The Contact of the existing Support Role is replaced (i.e. overwritten) by the new Contact; a new Support Role is not created for the new Contact.

How to Use Support Role Transfer

To use the Support Role Transfer feature:

  1. Login to InPort and go to Admin > Components > Contacts.
  2. Find the Contact to perform the Support Role Transfer on.
  3. After you have found the Contact, in the same row, there is a "# Usages" column which indicates how many usages the Contact has across InPort. Click on the number to see all the usages.
  4. On the next page, review the Support Roles that the Contact is referenced by. Keep in mind that all Support Roles are displayed here, but only Support Roles currently in effect will be transferred. Click on the Transfer Support Roles button.
  5. On the next page, select which Support Role Types you would like to transfer. You can choose to transfer all Support Role Types at once, or a specific one, one at a time. Note that the Support Role Type of the new Support Role created will match the Support Role Type of the Support Role it is being transferred from.
  6. Select the new Contact that the Support Roles will be transferred to.
  7. Specify the From Date for the new Support Role to be in effect. Note that the To Date of the existing Contact's Support Role will be set to the day before.
  8. Optionally supply any additional contact instructions that should appear with the Support Role.
  9. Click on the Transfer button.
